Privacy policy

At ProData Livestock we take care of your data. This policy explains what information we collect through our platform and its products (such as DualPro, our dairy management app), what we use it for, who can see it, and what rights you have.

Data controller

PRODATA LIVESTOCK LIMITED, a company incorporated in New Zealand, is the controller of the personal data you give us when you use our platform and its products. These texts call it ProData Livestock. For any privacy question, and to exercise your rights, write to [email protected].

We have not appointed a data protection officer. The same address handles those questions.

What information we collect

Account data: your name, your email address, the language you chose, and your password. The password is never stored as typed: we store a hash, which lets us check it but not recover it.

Farm data: name, country, province and district, coordinates if you record them, establishment code, currency, time zone, weight unit, and feeding parameters. Optionally, producer data: national ID number, tax ID (RUC), phone, address, email, and the legal representative's name and ID number.

Operational data you record: animals, herd tests, reproductive and health events, weights, movements, and the other herd management records. They describe animals, not people.

Files you upload: the spreadsheets you import are stored in a private bucket for your farm, so you can see which file each record came from.

Connection data: on every sign-in attempt we store the IP address, the browser or device, the date, and whether the attempt succeeded. They protect your account and help detect unauthorized access.

We do not process sensitive personal data: no health, origin, beliefs, or biometric data about people.

If you were invited to a farm

If you came to DualPro because a farm owner invited you, your email and your role were given to us by that person, not by you. We use them only to send you the invitation and, if you accept, to create your account and give you access to that farm. If you do not accept, the invitation expires and is deleted 30 days later.

What we use your information for, and why we may

We use your data to provide the service you accepted when you created your account: to create and protect your account, to display and compute your operation's metrics, to let your team collaborate on the same farm, and to send you the emails the service needs, such as account verification, password recovery, invitations, and notices about your account.

That is the legal basis for the processing: the performance of a contract you are a party to. We do not rely on your consent for any of the above. If a new use ever required it, we would ask you separately, and you could withdraw it by writing to [email protected], without affecting anything processed before.

There are no secondary purposes. We do not use your data for advertising, we do not sell it, we do not build profiles about you, and we do not track you across third-party sites or apps. That is why there are no uses you can limit separately: everything we do with your data is necessary for the service.

Automated calculations

Lactation curves, IOFC, alerts, and the other metrics are computed automatically from your animals' data. They describe animals and support your judgment. We make no automated decision about you as a person or about your access to the service.

Cookies and browser storage

The cookies the service needs are our own: the one that keeps you signed in, the one that remembers which farm you are viewing, and the one that stores the language you picked. We use no advertising cookies.

On the public pages of prodatalivestock.com, and only if you accept in the notice, we use two analytics tools. Google Analytics counts visits: which pages you view, where you came from, from which country and on what kind of device. Microsoft Clarity records how you move through the page (clicks and scrolling) to find what confuses people, and does not store what you type into forms. Each sets its own cookies. We do not use them in DualPro or in your account portal.

If you do not accept, neither one loads. We only count the visit, without cookies and without identifying you. You can change your answer at any time with the "Cookie preferences" button in the footer. If you had accepted before, we delete their cookies from your browser.

We also keep a few preferences in your browser's local storage: the animals you visited recently, whether the sidebar is open or closed, the notices you already dismissed, and your answer to the analytics notice. That information never leaves your device.

We set the service cookies because they are necessary to provide it, the same legal basis as the rest of the processing, which is why we do not ask for consent for them. The analytics cookies depend on your consent. You can view, delete, or block any cookie from your browser settings. Note that blocking cookies will prevent you from signing in.

Who can see your data

The members of your farm, according to the role the owner assigns them. If you are an invited member, the farm owner sees your name, your email, and what you record.

Outside your team, your farm data is processed only by providers acting as processors, which may not use it for any purpose of their own. The infrastructure providers host the database and the files you upload, and run the service. The sync provider keeps the mobile app's local copy up to date. The email provider sends transactional emails. The analytics provider counts visits to the public pages without cookies. Google and Microsoft work differently. Only if you accept analytics do they receive the usage data from the public pages described in the cookies section, and they may also use it for their own purposes, under their own privacy policies. You can read how Google uses data from sites that use its services and the Microsoft Privacy Statement. If you do not accept, they receive nothing.

We do not hand your farm data to third parties for their own purposes. We would only hand it to an authority under a valid legal request.

Where your data is stored

Today your data is stored on servers located in the United States. If we later use servers in another region, we will say so on this page.

Storing your data outside your country is necessary to provide the service you contracted. Data protection laws allow transferring data to another country when that is needed to perform the contract with the data subject, and that is the basis we rely on. The processors hosting it may only use it to provide their service to us and must protect it with measures equivalent to ours.

Security

All communication with our servers is encrypted with HTTPS/TLS. Passwords are stored hashed. On your phone, the session is kept in the system's credential store. The files you upload live in a private bucket that is only reachable through our service. Access to each farm is limited by roles.

If a security breach ever affected your personal data, we would notify you by email, and the competent authority, within 72 hours of learning of it.

How long we keep your data

For as long as your account is active.

You can request the deletion of your account from our products (in DualPro: on the web, under Settings → My account, and in the app, under More → Delete account). There is a 30-day grace period during which you can recover it by signing in. After that, we permanently delete your account, the farms you own, their records, and the files you uploaded.

Unaccepted invitations are deleted 30 days after they expire. Verification and password recovery codes are deleted once used or expired. Connection records are deleted after 12 months.

Your rights

You can access your data, correct it, ask us to delete it, object to a processing, ask us to hand it over in a format you can take with you (portability), and withdraw a consent if you ever gave one. Most of these actions are available inside our products: you can edit your account and your farm, export your data, and delete your account.

For everything else, write to [email protected] from your account's email address, which is how we verify your identity, and tell us which right you want to exercise and over which data. We reply by the same means, within the deadline your country's law sets. If you live in Mexico, within 20 business days at most, and we act on the reply within the following 15 business days. If the request is complex, we will let you know about any extension the law allows.

If you disagree with our reply, you can turn to your country's data protection authority. In Mexico it is the Secretaría Anticorrupción y Buen Gobierno.

Children

Our products are for people aged 18 and over. Do not create an account for, or invite, anyone under 18. If we learn we hold a minor's data without the authorization of their mother, father, or guardian, we delete it.

Changes to this policy

We may update this policy to reflect improvements or legal changes. If a change affects your rights or how your data is used, we will email you at least 15 days before it takes effect. If you disagree, you can close your account at no cost. We will always publish the current version on this page with its last-updated date.
